Front Office ManagerEssential Job Functions:Oversees Front Desk, Bell/Valet, Concierge, and PBX Departments, ensuring the Front Office employees are following all policies and proceduresConduct all management meetings as directedAct as Manager on Duty as assignedFront Office Manager conducts interviews for the hiring of all new Front Office employeesResponsible in the training of all current and new employeesMust possess a thorough knowledge of the Property Management SystemMust be able to assist each Front Office department in completing daily tasks as needed to meet the needs of the operationMonitor Front Office employee time clock punches and make any corrections or additions as needed and in accordance with state lawManage Front Office employee lunch and rest breaks in accordance with state law and in the best interest of the operationEstablish weekly work schedules for all Front Office departments as neededResponsible for coaching and counseling of all front office employees, as well as issuing disciplinary action when neededIn charge of the timely completion of employee performance reviews, 90 day and annual, for each Front Office employeesEnsure all employees follow uniform standardsEnsure consistent and complete communication between the Front Office and all other departments of the hotel to maintain a smooth operationReview all VIP reservations; ensure proper room assignment and special requests and communicate to appropriate departmentsCommunicate with Housekeeping daily to ensure arriving guest reservations are blocked in correct room assignments and assigned rooms are cleaned in a timely mannerCommunicate with Housekeeping to ensure all room moves are handled correctlyMonitor departures on a daily basis, resolve discrepancies as needed, and communicate with Housekeeping to ensure guest room status is correctResponsible for all front office supply inventories; office supplies and printed materialsReview all group resumes on a daily basis and pass on any pertinent information to ensure a successful program. Work with CP Event Managers to ensure all expectations and requests by the Group Contact are metMust be familiar with all aspects of the guest rooms; i.e. guest room types, sizes, locations, views, rates, packages, and all room and reservation attributes as defined in the Property Management SystemMust be able to manage the room inventory on a daily basis to ensure all guest requests are met and room revenue is maximizedMust be able to fully understand the Reservation process in MaestroConduct daily stand up meetings during shift changes to ensure all pertinent information is passed on and communicated accordinglyPrint necessary daily reports and distribute to the appropriate departmentsEnsure proper and timely guest recovery when needed and issue compensation to ensure guest satisfaction when necessaryResponsible for holding all team members accountable for policies and proceduresFollow all fire and safety procedures and regulations as outlined in the employee handbookMust conduct self in a professional manner at all times and adhere to the employee handbook grooming policiesReport to all scheduled shifts on time and if unable to report to work, notify the Rooms Director according to the company policy outlined in the employee handbookMinimum Education and Physical Requirements:Bachelor degree or degree in Hospitality Management preferred.Two to four years experience in Front Office/Housekeeping/Guest Services, including at least two years supervisory experience, required.Strong leadership skillsGood understanding of computer programs utilized in hotelsAbility to work various shifts that includes weekends and holidaysRooms Division background is necessaryMust be able to stand and walk the property for 80 to 95% of the dayMust be able to lift up to 20 lbs. on a regular basis and able to bend, squat, and lift up to 50 lbs. on an occasional basis.Join our Team!
